THE ROLE We're on the hunt for a detail-driven and organised Administration Assistant to support the smooth day-to-day running of our Distribution Centre. In this fast-paced role, you'll play a key part behind the scenes - supporting everything from payroll and supplier invoicing to procurement, export paperwork, and operations reporting. You'll work closely with our DC teams to keep things moving efficiently and accurately, while getting exposure to key processes that keep our warehouse moving. Reporting into the Administration Manager, this role is responsible for but not limited to: Invoice Management Validate supplier invoices in a timely manner to ensure alignment with agreed terms Place all documents in an appropriate filing system to support audits and best practice processes Procurement Assists in the procurement of office and warehouse consumables, ensuring adequate stock levels while optimising costs Export Order Documentation Assists in preparation of all necessary paperwork for export orders (air and sea freight) to meet compliance and regulatory requirements PSR Engagement Assists in investigating and resolving PSR tickets by liaising with stores and PP/inventory teams Reporting & Analytics Provide weekly reports and analytics on warehouse operations to support decision-making and continuous improvement as requested by the Administration Manager Provide daily updates on web order status and coordinate with relevant team to resolve issues affecting any aged orders Employee engagement Assists with the employee recruitment, induction, and onboarding queries for the DC WHAT WE'RE LOOKING FOR? Minimum 1-2 years' experience in an administrative role within warehouse operations Previous experience working with Dolfin or like system Previous experience working with Warehousing systems Previous experience working with HRIS systems Experience working with procurement processes, and financial reconciliation Strong analytical and reporting skills Intermediate proficiency in Microsoft Suite Strong stakeholder management Experience with export order documentation and compliance is preferred, but not mandatory WHAT'S IN IT FOR YOU?
